BuildFlow Pro — A proprietary SaaS construction management platform.

BuildFlow Pro is a proprietary product. Unauthorized use of the name or branding is prohibited.

1. Information We Collect

We collect the following types of information when you use BuildFlow Pro:

a) Information You Provide Directly:

  • Account information (full name, email address, phone number)
  • Company and business details (company name, address, license number)
  • Client and homeowner information (names, email addresses, phone numbers, home addresses)
  • Project details (scope of work, addresses, timelines, budgets)
  • Estimates, proposals, change orders, and contracts
  • Financial data (expense records, payment schedules, invoices)
  • Photos, files, documents, and media you upload
  • Communications and messages sent through the Platform
  • Digital signatures (typed names and drawn signature images)

b) Information Collected Automatically:

  • IP address and approximate geographic location
  • Browser type, device information, and operating system
  • Pages visited, features used, and time spent on the Platform
  • Referral source and navigation patterns
  • Legal consent timestamps and acceptance records

c) Information from Third-Party Integrations:

  • Stripe: Payment transaction data, Stripe Connect account details
  • QuickBooks: Accounting data synced through authorized OAuth connections (vendor records, invoice data, company information)
  • Email delivery providers: Email send/delivery status logs

2. How We Use Your Information

Your information is used to:

  • Provide, operate, and maintain the BuildFlow Pro service
  • Process payments through Stripe and manage subscriptions
  • Synchronize financial data with QuickBooks when authorized
  • Generate estimates, proposals, PDFs, and contracts
  • Send transactional notifications (emails, payment reminders, project updates)
  • Provide client portals, subcontractor portals, and team collaboration features
  • Maintain audit logs, consent records, and activity tracking
  • Improve the Platform, analyze usage patterns, and develop new features
  • Comply with legal obligations and enforce our Terms
  • Detect and prevent fraud, abuse, or security incidents

3. Sensitive Data We Store

BuildFlow Pro processes sensitive business and personal information including:

  • Client personal data: Names, phone numbers, email addresses, and home addresses
  • Financial data: Estimates, invoices, payment amounts, expense records, and sales performance metrics
  • Signed documents: Digitally signed contracts, change orders, completion certificates, and payment schedules
  • Integration credentials: OAuth tokens for QuickBooks and Stripe Connect account references
  • Business analytics: Revenue reports, profit margins, and sales pipelines

We treat all of this data as confidential and apply appropriate security measures as described in Section 4.

4. Data Security & Encryption

We implement industry-standard security measures to protect your information:

  • Encryption in transit: All data transmitted between your browser and our servers is encrypted using TLS/HTTPS
  • Encryption at rest: Sensitive data stored on our servers is encrypted using AES-256 or equivalent standards
  • Access controls: Role-based access ensures users only see data relevant to their permissions
  • OAuth security: Third-party integrations (Stripe, QuickBooks) use secure OAuth 2.0 token-based authentication — we never store third-party passwords
  • Session management: Automatic session timeouts and inactivity logout protect against unauthorized access
  • Regular security reviews: We periodically assess and update our security practices

While we strive to protect your data, no method of electronic transmission or storage is 100% secure. We cannot guarantee absolute security.

5. Third-Party Services & Data Sharing

We do not sell, trade, or rent your personal information to third parties.

We share information only with the following categories of service providers, and only the minimum information necessary:

  • Stripe, Inc.: Payment processing and Stripe Connect account management
  • Intuit QuickBooks: Accounting synchronization when you authorize the integration
  • Email delivery providers (Resend): Transactional email delivery
  • Cloud infrastructure providers: Secure data hosting and storage

We may also disclose information:

  • When required by law, subpoena, or legal process
  • To protect the rights, safety, or property of BuildFlow Pro and its users
  • In connection with a merger, acquisition, or sale of assets (with prior notice)

6. Data Retention

We retain your data for as long as your account is active or as needed to provide the Service. After account termination:

  • You may request data export within 30 days
  • We retain legal consent records indefinitely for compliance purposes
  • Financial and transaction records are retained as required by tax and business regulations
  • All other personal data is deleted or anonymized within 90 days of confirmed account deletion

7. Your Rights

Depending on your jurisdiction, you may have the following rights:

  • Access: Request a copy of your personal data
  • Correction: Request correction of inaccurate data
  • Deletion: Request deletion of your personal data (subject to legal retention requirements)
  • Portability: Request export of your data in a machine-readable format
  • Objection: Object to processing of your data for certain purposes
  • Withdrawal of consent: Withdraw consent for data processing at any time

8. California Privacy Rights (CCPA)

California residents have additional rights under the California Consumer Privacy Act (CCPA):

  • Right to know what personal information is collected, used, shared, or sold
  • Right to delete personal information held by us
  • Right to opt-out of the sale of personal information (we do not sell personal information)
  • Right to non-discrimination for exercising your privacy rights

9. Cookies & Analytics

We use essential cookies to maintain your session, authentication state, and provide the Service. We may use analytics tools to understand usage patterns, improve performance, and enhance BuildFlow Pro. We do not use cookies for advertising or third-party tracking purposes.

10. Children's Privacy

BuildFlow Pro is not intended for use by individuals under the age of 18. We do not knowingly collect information from minors. If we learn that we have collected data from a minor, we will take steps to delete it promptly.

11. International Data Transfers

If you access BuildFlow Pro from outside the United States, your information may be transferred to, stored, and processed in the United States. By using the Platform, you consent to these transfers.

12. Changes to This Policy

We may update this Privacy Policy from time to time. When significant changes are made, we will update the version number and effective date, and require re-acceptance through the Platform. Continued use after notification of changes constitutes acceptance.
